Payments are either made through PayPal, or electronic bank transfer. Your payments are refundable until 40 days before the event start date, after which they may be transferable to another event, or person, at our discretion. Refunds made via PayPal are subject to a 6.8% handling charge. Your booking is not considered definite, and no contract will exist between you and VeloVedic, until we receive full payment from you. If you choose to pay by electronic bank transfer, please instruct your bank to charge all costs to you, in order to avoid a shortfall in the amount that we receive. Details for bank to bank transfer (BACS) will be sent to you on request.
All travel arrangements are your responsibility, and at your own cost. We shall not be held liable for any consequences arising from delays, or cancellations, from any of the companies you have made arrangements with, or for any irregularities in your documentation required for travel. Transfers to/from the event are at your own cost, and at your own risk, unless otherwise specified. VeloVedic highly recommends that you take out the relevant travel insurance for your chosen event.
If you have a medical condition, you MUST inform VeloVedic at the time of booking, and we may ask you to provide a letter from your GP confirming that it is safe for you to attend a VeloVedic event. In the interests of your wellbeing, we may decline your booking. If an emergency arises, we will do everything in our power to assist you, but VeloVedic is not responsible for the outcome of any such emergency.
You (or a member of your party) may cancel your booking at any time, provided that the cancellation is made by the person submitting the booking form, and we are notified in writing. Cancellation will take effect from the day written notification is received by us. If cancellation is made less than 40 days before the start of the event, we will retain 100% of your booking payment. If cancellation is made more than 40 days before the start of the event, we will refund your booking payment less any non-refundable deposit paid. However, if another person can be found to take your place, we may offer you a full refund at our discretion. Refunds are normally settled within 10 working days from the date of cancellation. There are no refunds for an unused portion of the event.
Occasionally, changes may have to be made (e.g., ride leaders, yoga instructors, timings, or catering arrangements), which we reserve the right to do at any time. If your accommodation has to be changed for any reason, we will do our utmost to provide accommodation of a similar standard. If a significant change becomes necessary, we will inform you as soon as reasonably possible.
We reserve the right to cancel an event, in which case we will offer a full refund of all monies paid to us, by you, within 10 working days. In particular, our events require a minimum 50% of participants to have booked 40 days before the start date. If this minimum is not reached, we may be required to cancel the event.
We accept responsibility for ensuring that our events are supplied as described, and that the services we are contractually obliged to provide are to a reasonable standard. We do not accept any liability for cancellations, delays, unforeseen changes in your personal circumstances, or any other events beyond our control. We are not liable for any injuries you may incur. We are not liable for any medical, or psychiatric conditions, which may develop during, or subsequent to the event. We are not liable for loss of, or damage to, your personal property.
We really value your feedback. Giving us feedback when you are not happy with our service gives us the opportunity to put things right for you, and to improve our service to others.
